Business Manager @ Essendon Baptist Community Church

 

Essendon Baptist Community Church is a growing church community that is looking to appoint a Business Manager for 3 days per week. The role will oversee the business operations of the church, including our community based work and our support to other local churches.

The bulk of the role is related to finance, thus qualifications and experience in this specific area are essential to fulfilling its requirements. 

The aim is to fill the role at 3 days / 24 hours per week - but we may adjust the hours and scope of the role down to 2 days / 16 hours per week for the right candidate.

To do the role well - you’ll need to be :

- Comfortable working in a Christian church team environment, with 11 other staff and many volunteers.

- Confident using Xero, G Suite and Office tools.

- Able to balance hands on work with the delegation of tasks to deliver the expected outcomes.

- Able to present reports to our Church Council (Board) and our Church members as needed.

- Able to work with people who have a range of skills, and different skill levels.

Job Description for the Business Manager of Essendon Baptist Community Church.            06.11.2019  

The job in one Sentence:

“To oversee the effective provision of administrative support to the ministry and mission of EBCC.”

Accountability: The Business Manager is directly accountable to the Senior Pastor. 

The position and the performance of the Business Manager are reviewed annually. 

Time allocation and type of employment:  16-24 hours per week (0.4 - 0.6 EFT)

The final allocation would depend on the availability and desired working hours of the successful candidate. The role cannot be done in less than 16 hours per week, but there are 8 hours that could be re-deployed.

A.    Core Responsibilities: 

  1. To work with the paid staff and volunteer ministry team leaders to ensure that good administrative systems are in place, and that resource and space allocation is appropriate.  

2.    To directly oversee EBCC Finances. This includes management of all regular financial payments, receipts, reconciliations, and reporting. 

3.    To work with the Senior Pastor to oversee the management of human resources. Specifically including payroll, employment contracts, recording for all forms of staff leave, drafting and implementing policies and procedures, overseeing training requirements, performance management and review and other tasks as they arise.

4.    To oversee Workplace Health and Safety, including the implementation and maintenance of required levels of Risk Management and for reporting and training in this as required.

B.    Administrative responsibilities.

  • Weekly bank reconciliations.

  • Review and approval of bills.

  • Review and approval of invoices.

  • Completion of Quarterly BAS.

  • Fringe Benefit Reconciliations.

  • Review of bank and cash flow requirements.

  • Month end reconciliations and reporting to church council, pastoral team & church members.

  • Other bookkeeping and administrative tasks as required.

C.    Other Responsibilities:

  • Involvement in Staff and Ministry team meetings.

  • Participation in church wide outreach events (specifically Christmas and Easter).

  • Attendance at all Church Council Meetings and Church Members Meetings. 

D. Other expectations.

1. This is a 16-24 hour per week appointment, as opposed to a set number of days. There are set times in the week where it is important for the Business Manager to be in the office, but the timing of most hours is flexible. Working from home is an option for a portion of the time allocated by negotiation.

2. The new position will include standard 3 month probationary period, and standard 6 month review.

E. Desired qualifications and experience. (essential unless otherwise stated)

  1. Experience with the various administrative tools we use - specifically Xero and the Google Suite.

  2. An accounting qualification is desirable (CA or CPA) but not essential - however the candidate will need to be able to prepare and present reports at that level even if not currently registered.

  3. Experience working in an admin team - church context is not essential.

  4. A current Working With Children Card and Police Check.

  5.  A willingness to abide by the  Essendon Baptist Community Church code of conduct .

  1. A personal faith in Jesus Christ and a willingness to join our church community.

  2. A sense of “call” to church administration.

  3. Strong accounting and financial administration skills.

  4. Team Leadership skills. The will need to have a proven ability to recruit, train, and generally oversee volunteer leaders of a mix of ages, abilities and background.

  5. Administration skills. These should include a sound understanding of IT (Office suite, email, social media) and a willingness to work with and help organise a team of volunteers helping with the various practical and administrative tasks associated with a church our size.

  6. A proven capacity to be a helpful part of a staff team.
