Job Description:

International Institute of Technology (Registered Training organisation) requires a part time Office Administrator who can manage student files, email communication, phone support and basic administration functions, such as printing, binding, data upload, scanning, archiving and enrolling students and managing their feedback from assessors and trainers for file or resubmission requirements.

This role is required for 2 days per week with a view to at least 3 days per week once our staff member goes on maternity leave. This would be an ongoing position.
We require an immediate start with full training and support provided, in a friendly office environment in Queens Road, Melbourne (near St Kilda road). Public transport right outside the office and parking available under the building also.

Job Requirements:

English must be excellent verbally and in written form. Preferably English as your 1st language, due to phone and email communication being the main role. *Please do not apply if you do not meet this requirement.

Previous experience in administration roles preferred, phone skills must be very good and preferably knowledge in using a Mac. Must be able to use Office programs.

Full training will be given for each task required.

We require an efficient, friendly, motivated staff member to manage this role and work with other team members.


Job Description: (not limited to the below)
  • Email communication to students via our distance education and enrolment email accounts
  • Forwarding on facilitator feedback to students regarding submissions or re submissions
  • Enrolling students into our student management system fully and E-learning system
  • Dispatching and setting up dispatch labels for postage of course material
  • Answering the phone to assist students with understanding basic instructions in their course details
  • Assisting students with basic questions about assessment requirements they need to complete for their course
  • Directing students to course resources or FAQ section on e-learning platform and other e-learning functions in their portal
  • Liasing with facilitators about feedback they have given and any areas we are missing for a student to finalise
  • Issuing Certificates (this is not something you will do immediately)
Supervision and full training will be given in this role. Directions from the CEO, Operations Manager or Distance education manager will given to perform and report outcomes for each role satisfactorily.
